PURPOSE

Provides clerical support to the patient care area to ensure effective and efficient services are delivered.


PRIMARY RESPONSIBILITIES

  • Provides telephone coverage for unit; answer calls promptly and courteously; receives and distribute messages accurately and in a timely manner.
  • Assembles new carts and maintains neat, complete records.
  • Transcribes physicians’ orders from the chart to the appropriate area as the Charge Nurse directs and supervises.
  • Checks that records are complete and kept up to date, bringing incomplete records to the attention of the Charge Nurse; adds extra chart forms, properly headed, as needed.
  • Files appropriate forms on each chart.
  • Assists with admissions, transfers, and discharge, completing necessary forms and arrangements.
  • Maintains all information in the identified computer system.
  • Collaborates and interacts with other disciplines and departments, i.e., medical records, dietary, housekeeping, lab, x-ray, physical therapy, social services, etc.
  • Performs any other clerical duties as directed by Charge Nurse and/or Nursing Service Administrator.
  • Maintains equipment, supplies and the physical environment of the nurse desk.
  • Calls personnel when extra staff or replacement personnel are needed.
  • Promotes the most effective and efficient delivery of quality health services for clients.
  • Prepares reports on incidents, events, patient data and information.
  • Serves as a resource person for the department and other employees.
  • Demonstrates familiarity with facility and department infection control policies.
  • Maintains confidentiality of patients, department and hospital.
  • Has a clear understanding of the Health Insurance Portability and Accountability Act (HIPAA) regulations and develops and follows department policies and procedures to maintain compliance.
  • Works effectively as a team member within the facility to provide quality service to hospital departments through communication, cooperation, and collaboration.
  • Expands job-related knowledge and skills to improve and adjust to change.
  • Follows policies and procedures to contribute to the efficiency of the Hospital.
  • Reviews can and enter charges as needed.
  • Enters data on chart audits as needed
  • Attends scheduled inservices that pertain to the hospital as a whole or to the Nursing Department.
  • Performs other related duties as needed in order to support the achievement of department goals and objectives.
  • Attends scheduled monthly department meetings.

  • Participates in departmental CQI.

PHYSICAL DEMANDS

  • General office demands such as sitting, computer use requiring manual dexterity, walking about bending and stooping. 

  • Exposure to healthcare environmental conditions.

  • Frequent lifting and/carrying objects weighing 10 pounds or more.

  • Ability to work for long periods of times as required.

  • Ability to respond quickly to emergency situations.

  • Ability to work in varying capacities.
  • Evidence of emotional maturity, stability, initiative, adaptability, honesty.
  • Ability and flexibility to adapt to a variety of circumstances in the work setting.
  • Must have good communication skills, patience and tact in working with patients, families, and staff.
  • Must exhibit ability to set priorities.
  • Willingness to work a schedule that may require irregular hours as well as availability for call for support of staff.
