HR Talent Acquisition & Benefits Specialist (Part-Time)

Position Summary

The Talent Acquisition and Benefits Specialist is responsible for managing the full-cycle recruitment and onboarding process, while also supporting the administration of employee benefits and retirement programs.

Key Accountabilities

  • Process new hire request forms and create job postings in a timely manner.
  • Collaborate with hiring managers to review applicants and identify qualified candidates.
  • Manage the full interview process, including scheduling, preparing interview packets, and maintaining interview documentation.
  • Extend conditional job offers, coordinate start dates, and initiate pre-employment requirements (e.g., background checks).
  • Coordinate with the Wellness Coordinator to initiate Physical Capacity Profile (PCP) setups for new hires.
  • Oversee the onboarding process, including processing new hires in Paylocity, coordinating with internal departments, and setting up personnel files.
  • Lead new hire orientation, including preparing materials, presenting information, processing I-9 documentation, and managing logistics (scheduling, room reservations).
  • Serve as the point of contact for temporary staffing needs, coordinating placements with external agencies.
  • Attend and participate in college job fairs and recruitment events to promote the organization and build talent pipelines.
  • Partner with departmental managers to identify skill requirements and ensure alignment with hiring needs.
  • Ensure accurate enrollment of employees in benefits and retirement programs through the HRIS (Paylocity), providing vendors with up-to-date eligibility data.
  • Perform regular quality checks on benefits-related data to ensure accuracy and compliance.
  • Assist employees with benefits-related inquiries, including claims, plan changes, and general information.
  • Distribute benefits enrollment materials and determine eligibility for various plans.
  • Enroll employees with benefit carriers and process life status changes (e.g., marriage, birth, divorce).
  • Manage and respond to 401(k) plan inquiries, including enrollments, changes, and contribution adjustments; oversee catch-up contribution enrollment annually.
  • Coordinate and manage the annual open enrollment process.
  • Ensure timely and accurate processing of benefits claims, changes, and vendor invoices.
  • Enter and track tuition reimbursement submissions through Paylocity.
  • Provide benefits-related reports for departmental billing and allocations.
  • Administer and process leave of absence paperwork for FMLA, medical, personal, short-term disability, long-term disability, and workers' compensation cases.
  • Manage workers' compensation claims by liaising with employees, insurance providers, and internal HR teams to ensure proper handling and follow-up.
  • Ensure compliance with federal, state, and local employment laws, as well as internal policies and procedures.
  • Coordinate the Internship Program, including schedule management with department heads and acting as the main contact for student interns and educational institutions.
  • Support accounts payable processing and other finance-related administrative tasks as needed.

Minimum Qualifications

  • Bachelor’s Degree in HR, business management, or closely related field or an equivalent combination of experience and education.
  • Certification in at least one major HR discipline such as PHR, SPHR, CEBS, CCP, or CBP preferred but not required.
